If you are comparing school ERP software in India, the first thing you'll notice is that nobody prices it the same way. One vendor quotes per student, another quotes a yearly licence, a third wants a one-time fee plus annual maintenance. This guide explains how school ERP software is priced in India, what actually drives the cost, and how to compare quotes fairly.
How school ERP software is priced in India
Almost every school ERP in India uses one of four pricing models:
- Per student (sometimes per student and teacher). You pay a small amount for every active user. This is the most common model for cloud ERPs because the cost grows with your school, and small schools aren't overcharged.
- Flat annual subscription. A fixed yearly fee for a package, usually with a student limit (for example "up to 1,500 students"). Simple to budget, but you may pay for capacity you don't use.
- One-time licence plus AMC. Common with older, installed software. You pay upfront, then an annual maintenance contract (AMC) for updates and support, often a percentage of the licence fee.
- Free or freemium. Free plans exist, but usually with limited modules, ads, or charges for SMS, the mobile app or support. Check what "free" really includes.
What drives the price
Two schools with the same number of students can get very different quotes. These are the factors that move the number:
- Number of students and staff. The base of almost every quote.
- Modules included. Some vendors sell fees, exams, transport, payroll and admission CRM as separate add-ons. An "all modules" plan can be cheaper overall even if the headline price looks higher.
- Mobile app for parents and teachers. A branded app is often priced separately. Ask whether the app is included and whose name appears on the Play Store listing.
- SMS and WhatsApp messages. Usually billed on usage by the message provider, on top of the ERP fee.
- Online fee payments. Payment gateways charge a transaction fee on each online payment. This is separate from the ERP price.
- Data migration and setup. Importing old student and fee records can be free, or a one-time charge.
- Training and support. Onsite training, a dedicated support person, or faster response times can add cost.
- Customisation. Custom report cards, certificates or workflows are typically quoted separately.
Hidden costs to ask about
Before you sign, get written answers to these questions:
- Is there a setup or onboarding fee?
- Are SMS, WhatsApp and email charges included, or billed on top?
- Is the parent/teacher mobile app included in the price?
- How much does the price rise at renewal?
- Can we export all our data if we leave, and in what format?
- Is there a student limit, and what happens if we cross it mid-year?
How to compare school ERP quotes fairly
Headline prices are rarely comparable. Put every quote into the same shape: your total cost for one academic year, for your actual number of students and staff, with the modules you'll really use, including the app, messaging and setup. Then compare that single number.
Price isn't everything, of course. Ask for a live demo on a sample school, not just slides, and try the three things your office does most: admitting a student, collecting a fee, and marking attendance. If those feel slow in the demo, they'll feel slower on a busy morning.
